Tally Prime export
For Indian shops whose accountant keeps the books in Tally Prime. SupplySynk turns the GST bills and credit notes you issued in a date range into a file Tally imports: the sales and credit-note vouchers, plus the ledgers and stock items they use. Your accountant imports it; nothing is sent to Tally for you.
Only bills that were actually issued are included (tax invoices, bills of supply and credit notes; see Tax). Orders without a GST bill, and US businesses, have nothing to export.
Download the file (managers and up)
- Go to Settings → Tax, then GST reports.
- Pick the month or quarter under Period. The From and To dates under Tally Prime follow it; you can change them. One file covers one financial year at most (1 April to 31 March): for a range across 31 March, download two files.
- Choose whether to Include stock items (see below) and What to download: everything in one file, the ledgers and items only, or the vouchers only.
- Press Download for Tally. You get an XML file named like
Tally_29AAGCB7383J1Z4_2026-10-01_2026-10-31.xml.
One download can be up to 4 MB (roughly a few thousand bills, fewer with many items each) and at most 3,000 bills and credit notes. A busier range is refused with a message: download a shorter range, such as half a month, or the ledgers and vouchers separately.
A bill whose total doesn't match its lines, tax and round-off (by more than ₹1) is refused by name, so it can be checked first; smaller differences go to Round Off.
Staff and viewers don't see the Tally export. Apps can use
GET /api/v1/gst/tally with an API key that has read:reports.
Import it into Tally Prime
Ask your CA to try the first file in a test company (a copy of your books) before your real one.
- Open the company in Tally Prime.
- Choose Import (Alt+O), then Masters for a ledgers-only file or Transactions for the rest, and give the file's path. [verify] the one-file download imports through Transactions in your Tally version; if Tally refuses it, download Ledgers and items only and Vouchers only, and import them in that order.
- Tally lists what it created and anything it couldn't import.
Import each period once, in date order: a month's file before the next month's, so invoices are in Tally before the credit notes against them. Importing the same days again can create the vouchers twice [verify].
What's in the file
- Sales vouchers (voucher type Sales) for each tax invoice and bill
of supply, numbered exactly as the bill (
INV/26-27/000123), dated the bill's date. - Credit Note vouchers (voucher type Credit Note) for each credit
note (
CN/26-27/000004), against the original invoice: its number and date are on the voucher. For customers with their own ledger, the amount is set against that bill when the invoice is in the same file; when it was in an earlier file, the credit note is left unallocated for your accountant to set against the bill in Tally [verify]. A credit note against a bill of supply uses the same sales ledger as the bill. - On each voucher:
- the customer (party) for the bill's total;
- sales at each GST rate (Sales GST 18%);
- output tax per component and rate (Output CGST 9%, Output SGST 9%, Output IGST 18%, Output UTGST 9%);
- delivery charges, if any;
- the Round Off. Every voucher adds up to exactly ₹0.00, as Tally requires.
- Ledgers that the vouchers use, under Tally's usual groups:
- customers under Sundry Debtors, with their GSTIN, state and address;
- sales under Sales Accounts;
- tax under Duties & Taxes;
- Round Off under Indirect Expenses and delivery charges under Indirect Incomes [verify].
- Stock items (with their unit, HSN code and GST rate) for what was sold, unless you turned stock items off.
Customers
- A customer with a GSTIN (B2B) gets their own ledger, named as on the bill. Two businesses with the same name get their GSTIN added to the name.
- Customers without a GSTIN, including counter sales paid in cash, card or UPI, go to the walk-in ledger, Cash by default (every Tally company has it), so nothing is left owing. In Ledger names you can choose another walk-in ledger, or a ledger per customer name instead. With a ledger per customer, each sale shows in Tally as owed by that customer (an open receivable) until your accountant enters the payment, because payments aren't exported.
Stock items or accounts only
With Include stock items on, each voucher lists the items sold with quantity, rate, HSN and GST rate (an item invoice). Purchases aren't exported, so Tally's stock of these items goes below zero. If you keep stock in SupplySynk only, turn it off: the vouchers then carry the sales ledgers without items (an accounting invoice).
Ledger names (owners and admins)
Managers and up can press Ledger names to see the names the file uses;
owners and admins can change them to match the ledgers your accountant
already has. In the sales and tax ledger names, {rate} becomes the rate:
the GST rate for sales and IGST (18), and half of it for CGST, SGST and
UTGST (9). Leave {rate} out to use one ledger for every rate. Other names
(walk-in, round off, delivery, voucher types) can't contain {rate}.
Names are one line: line breaks and extra spaces become a single space.
- Ledgers that don't exist in Tally yet are created by the import; existing ones are kept as they are [verify].
- Voucher types are not created: a custom name (instead of Sales or Credit Note) must already exist in your Tally company.
- Names that would clash at any GST rate (for example CGST and SGST in one ledger, or a fixed name that equals another ledger at some rate) are refused.
- Only names you change are saved; Use the defaults puts them all back.
Not included
- Purchases. Purchase orders don't record the supplier's invoice number and date, and their tax is worked out on the quantity ordered rather than what arrived, so they can't become purchase vouchers your CA could rely on. Use the purchase register (CSV) in the meantime.
- Payments and receipts (cash, card and UPI collections), orders without a GST bill, and US businesses.
Things to check with your CA [verify]
- The import itself, in a test company, on your Tally Prime version.
- The groups for Round Off (Indirect Expenses) and delivery charges (Indirect Incomes).
- That UTGST ledgers use Tally's State Tax duty head.
- Customer registration types (Regular, Unregistered/Consumer) and state names as your Tally lists them.
- Voucher numbering: set the Sales and Credit Note voucher types to keep the imported numbers (manual numbering, or automatic with manual override).
- Stock item GST details: the file sets HSN and rate from the first financial year in the file; check items whose rate changed.
- Importing the same period twice.
