AI assistants (Claude, ChatGPT)
Connect Claude or ChatGPT to your business and ask it things in plain words: "what's running low?", "how many medium club shirts do we have?", "what sold this week?", "draft the reorder", "the Gray-Nicolls delivery came in". It works with your real stock, orders and purchase orders, and you decide how much it may change.
Connect
- In SupplySynk open Settings → Connected apps and AI and copy your
business's AI address. It looks like
https://www.supplysynk.com/api/mcp/your-business. - In your AI app add it as a connector:
- Claude: Settings → Connectors → Add custom connector, paste the address.
- ChatGPT: in Settings → Connectors (with developer mode on), create a connector with the address.
- Claude Code, Cursor, VS Code: add it as a remote MCP server.
- Sign in to SupplySynk when asked. Because the address names your business, you don't have to pick one.
- Choose what it can do (below) and press Allow.
Anyone with a SupplySynk account can connect an app for themselves. The app acts as you: it can never do more than your role allows, and everything it does is recorded in the activity log as "you via Claude".
What it can do
| Choice | What happens |
|---|---|
| Look only | It can read your stock, orders, purchase orders and reports. It can't change anything. |
| Ask me first | It can ask for any change, but nothing happens until someone approves it in Approvals. |
| Everyday changes | Routine changes happen straight away: stock adjustments, draft purchase orders, receiving deliveries, stock counts, orders at your normal prices. Big changes still wait for approval: sending a purchase order to a supplier, changing prices, orders with a discount or a different price, marking orders paid, emailing shoppers, deleting or cancelling things, returns, importing a spreadsheet, publishing the online store or one of its pages, payment options and anything that changes Square. |
You can also untick particular kinds of change when you connect. To change the choice later, open Settings → Connected apps and AI and pick another option next to the app. Disconnect cuts the app off straight away, and anything it asked for that is still waiting is turned down.
Owners and admins also see everyone's AI apps in the business there, and can lower what a member's app may do or disconnect it. Only the member can raise it.
Approving
When an assistant asks for a change that needs a go-ahead, it tells you it was sent for approval, and owners and admins get an email (at most one an hour, listing everything waiting). Owners, admins and managers also see it in the bell at the top.
- Open Approvals in the menu (it works well on a phone).
- Each request says in plain words what will happen, for example "Adjust stock of Club Whites Shirt (M) at Shop floor by +10, reason "found in back room"", who asked and from which app.
- Press Approve to do it now, or Reject and say why. The assistant sees the result or your reason when it checks back.
Apps name themselves when they connect. If an app's name can't be confirmed (it doesn't return to claude.ai, chatgpt.com or another known AI service), it shows as, for example, "Claude (unverified, example.com)". Only approve requests from apps you recognise.
Owners, admins and managers can approve. You can only approve what your role lets you do yourself (for example, publishing the online store needs an owner or admin). Requests nobody decides expire after 7 days.
Good to know
- The activity log (Admin → Activity) shows who did what, for example "Asha via Claude" or "Asha via Claude · approved by Ravi".
- If an approved request can't be done any more (say the stock was already sold), it shows Approved, didn't work with the reason, and nothing changes.
- The older shared address (
/api/mcp, without your business at the end) still works; it asks which business when you sign in. - Developers and server-side agents can use an API key instead: see AI assistants (MCP).
